Hours- 36hours a week. 3x12hr shifts on a rota from Monday to Sunday, with shift patterns varying between 7am and 9pm.
Introduction
We are looking for a Patient Administrator to join our Kingston MRI Department, working across three MRI scanners and supporting both NHS and private patients. This is a flexible working role, based on three 12-hour shifts per week, supporting both inpatient and outpatient MRI services.
The role combines reception duties with a range of booking and administrative responsibilities. You will play a key role in ensuring MRI appointments are booked accurately across all three scanners, in line with the appropriate patient pathways and priorities. You will also be responsible for keeping patient and booking systems up to date, preparing patients for their appointments and supporting them throughout their visit.
As a key point of contact for patients, you will provide a professional, courteous and reassuring service, helping patients feel comfortable and supported from the moment they arrive through to their departure. You will work closely with radiologists, clinical colleagues and the wider administration team to ensure the service runs efficiently and that patients receive the right information and support at every stage of their journey.
Key Duties and Responsibilities
- Prepare and manage patient lists for the following day, ensuring appointments are correctly booked, vetted and aligned with the appropriate pathways and priorities.
- Process referrals from hospitals, private providers and GPs, booking patients into the appropriate MRI slots across all three scanners.
- Contact patients to arrange and confirm appointments, complete screening calls and provide the information they need ahead of their scan.
- Proactively follow up outstanding vetting, patient information and unconfirmed appointments, liaising with radiologists and other colleagues where required.
- Maintain accurate patient records, files and booking systems, including uploading documents and updating information required for billing.
- Support the efficient use of MRI capacity by filling short-notice gaps, managing cancellations and booking additional inpatients where appropriate.
- Provide a professional and welcoming reception service, coordinating patients from arrival through to departure and responding to queries in a caring and reassuring manner.
- Ensure payments are taken and invoiced accurately and promptly, where required.
- Track and distribute imaging data and reports as needed.
- Work collaboratively with clinical and administrative colleagues, supporting the Senior Administrator and Administration Manager as required.
- Work closely with radiographers and clinical assistants to coordinate patient flow and ensure the smooth and efficient running of the MRI service throughout the day
- Recognise when clinical support is required and escalate or delegate queries appropriately.
- Maintain patient confidentiality and comply with data protection requirements at all times.
