About The Role

Role: Deputy Administration Manager - Diabetic Eye Screening

Location: West Riding & Craven - the role can be based at our Halifax or Middlewich office. 

Salary: £26,250 FTE Salary - £15,750 pro rata salary. 

This is a part-time role, working 22.5 hrs per week. 
 

InHealth is a proud provider of Diabetic Eye Screening Programmes (DESP) across England, delivering high-quality services to approximately 1.7 million patients through 15 programmes. Our fully managed service covers the complete DESP pathway and complies fully with national standards and best practice. This includes call and recall, retinal screening and grading, use of innovative screening software (Spectra), automated referrals, failsafe processes, and robust clinical leadership.

We are now seeking a dedicated individual to join our Failsafe Team. This team plays a crucial role in ensuring patient safety by monitoring pathways, managing onward referrals to the Hospital Eye Service (HES), and putting corrective processes in place whenever an issue or delay is identified. Your work will support the smooth running of the programme and help safeguard the quality and accuracy of our services.

What You Will Do

  • Liaise with hospital teams to support the effective delivery of Failsafe services.

  • Manage your local Failsafe Team and provide training on our software systems.

  • Track patients throughout the screening pathway and ensure timely referrals to HES.

  • Conduct audits and maintain oversight of patient pathways to ensure safety and compliance.

  • Assist the Failsafe Manager and deputise in their absence, including attending Programme Board meetings.

  • Collaborate with HES Secretaries, Consultant Ophthalmologists, screeners, GP practices, optometrists, and patients.

  • Carry out regular data quality checks and validate programme performance.

  • Identify and report serious incidents, near misses, and procedural weaknesses.

  • Produce clear and detailed reports for projects and internal performance meetings.

  • Stay updated with national guidelines and contribute to continuous improvements within the programme.

Requirements:

  • Strong organisational skills and excellent attention to detail.

  • Experience delivering high-quality customer service.

  • Understanding of patient confidentiality and data protection.

  • Clear verbal and written communication skills.

  • Comfortable conducting audits and producing reports.

Experience (desirable):

  • Previous experience in healthcare failsafe operations.

  • Familiarity with NDESP standards, NSC guidelines, NICE, and NSF.

  • Experience using qualitative and quantitative research methods.

  • Background in a healthcare environment.
